Terms of Service
These terms cover your use of PaidTrail (the "Service"), operated by PaidTrail ("we," "us"). By creating an account or using the Service, you agree to them. If you don't agree, please don't use the Service.
PaidTrail is an independent tool. We are not affiliated with, endorsed by, or operated by TRICARE, the Department of Defense, or the Department of Veterans Affairs, and nothing here changes that.
What PaidTrail is
PaidTrail helps you organize receipts and paperwork for TRICARE Overseas and VA Foreign Medical Program claims: it stores your claim and receipt information, tracks filing deadlines, and fills out the DD Form 2642 and VA Form 10-7959f-2 from the details you give it.
What PaidTrail is not
PaidTrail is not a law firm, an accounting firm, a benefits counselor, and it doesn't work for, or speak on behalf of, TRICARE, the VA, or any insurer. Nothing in the app is legal, medical, financial, or benefits advice. Some details PaidTrail shows you — filing deadlines, documentation checklists, threshold amounts, signature requirements — are our own best reading of published program rules, and a few are explicitly marked as unconfirmed with the agency (you'll see this called out directly where it applies, for example around drawn signatures and some proof-of-payment thresholds). You are responsible for confirming anything that matters with TRICARE or the VA before you rely on it, and for the accuracy of everything you enter or upload. We are not responsible for a denied, delayed, or reduced claim, however it came about.
Your account
- You need to be an adult to create an account, and the account is for managing your own family's claims.
- Keep your sign-in secure; you're responsible for activity under your account.
- Give us accurate information. Receipts and claims you enter are your own representations, and it's your job to make sure a document you upload or a number you type is correct.
- You can stop using the Service at any time. See the Privacy Policy for how to have your account and data deleted.
Acceptable use
Don't use PaidTrail to:
- Submit information you know to be false on a real government claim, or otherwise commit or facilitate fraud;
- Upload content you don't have the right to upload, or that belongs to someone else's claim without their permission;
- Try to break, probe, or bypass the Service's security, or access another account's data;
- Use the Service in any way that violates applicable law.
We may suspend or close an account that we believe, in good faith, does any of the above.
Automatic receipt reading
If you turn on automatic reading, a receipt you upload may be sent to a third-party AI service to read its printed fields, exactly as described in the Privacy Policy. You confirm you have the right to share that document for that purpose, and that you'll check what it reads before relying on it — it is a convenience, not a guarantee of accuracy.
Subscriptions and billing
PaidTrail is currently free to use while billing is being built. If and when paid plans launch, these terms will be updated with the specifics (price, billing cycle, cancellation, and refunds) before anyone is charged, and continuing to use a paid feature after that point will mean you've agreed to them.
Intellectual property
PaidTrail and its design, code, and branding belong to us. The government forms it fills out (the DD Form 2642, the VA Form 10-7959f-2) are public federal forms, not ours; PaidTrail produces a filled copy of the official form from the information you provide.
Disclaimer of warranties
The Service is provided "as is," without warranties of any kind, express or implied, including that it will be uninterrupted, error-free, or that any deadline, threshold, or requirement it shows you is complete or current. Government programs change their rules; we do our best to keep up, but you should verify anything that matters directly with TRICARE or the VA.
Limitation of liability
To the fullest extent the law allows, PaidTrail is not liable for any indirect, incidental, or consequential damages arising from your use of the Service, including a denied or delayed reimbursement claim, lost data, or any decision you made based on something the app showed you. Nothing here limits liability where the law doesn't allow it to be limited.
Changes to the Service or these terms
PaidTrail is under active development and may change, and these terms may be updated as it does. We'll update the date at the top when that happens, and call out anything significant rather than let it slide by quietly.
